Data Protection & Consent
At KR Dance, we are committed to protecting your privacy and managing your personal data
responsibly and securely, in line with the General Data Protection Regulation (GDPR).
As part of your enrolment, you will be asked to complete a registration and consent form. This
allows us to keep accurate and up-to-date records and gives you the opportunity to indicate your
preferences regarding communication and the use of your child’s images.
We retain and process your information for the following purposes:
General Communication – To send emails with term dates, timetables, newsletters, fee
information, and other important updates.
Emergency Contact – So we can reach you quickly in the event of an emergency during
class.
Medical Needs – To ensure we are aware of any medical conditions that may affect your
child during dance activities.
Examinations – For entry into examinations with the Royal Academy of Dance (RAD) and
the International Dance Teachers Association (IDTA), including submitting relevant forms
and receiving results.
Consent for Images and Videos
Occasionally, we may take photos or videos of our students during lessons, rehearsals,
performances, or exams to celebrate achievements and promote KR Dance. These may be
shared on our official KR Dance Facebook page, Instagram account, or website.
All parents or guardians are issued contact and consent forms at the time of registration. These
forms give you the opportunity to indicate your preferences around the use of your child’s image.
Consent is assumed unless we are informed otherwise.
How Your Data is Handled
We want you to feel confident that your information is safe with us. Therefore:
We do not share your data with third parties.
We do not promote third-party products or events.
Your contact information is stored securely, and all digital records are password protected.
Your information will be kept on our mailing list for up to 1 year after your child leaves KR
Dance, unless you request otherwise.
You may request removal from our contact list at any time.
If you have any questions about how we use your data or wish to update your preferences, please
don’t hesitate to contact us.
At KR Dance, the safety and wellbeing of every child and young person is our highest priority. We
are committed to maintaining a safe, nurturing, and respectful environment where every student
can thrive and enjoy dance.
Our Commitment
We comply with all relevant child protection legislation, including the Children and Young
Persons Act 1963, Protection of Children Act 1999, and related UK laws.
We recognize all forms of abuse — physical, emotional, sexual, and neglect — and take all
concerns seriously.
Every child is treated with respect and dignity regardless of age, culture, disability, gender,
or background.
We actively prevent bullying and inappropriate behaviour, ensuring positive role modelling
at all times.
Our staff and volunteers are carefully recruited, DBS-checked, and trained in safeguarding.
We maintain a clear register of children, emergency contacts, and always supervise
students appropriately.
Our dedicated Child Protection Officers ensure our policies are up to date and consistently
followed.
How We Protect Your Child
Risk assessments are conducted before and during all activities involving children.
We maintain safe adult-to-child ratios, avoid unsupervised contact, and promote
transparency.
Physical contact with children is only when necessary, always with consent and clear
communication.
Photographs and videos are only taken with parental permission and used appropriately.
Any suspicion or disclosure of abuse is treated confidentially, acted upon immediately, and
reported to authorities as needed.
Licensed chaperones care for children during productions, following strict safeguarding
procedures.

Support us by following drop-off and collection policies and informing us of any health or
wellbeing issues.
Encourage your child to speak up if they ever feel uncomfortable.
Reporting Safeguarding Concerns
If you have any concerns about the safety or wellbeing of a child in our care, please report these
immediately to one of our designated Safeguarding Officers. Our team is trained to handle all
concerns with sensitivity and confidentiality.
